Hello, in this Salesforce CPQ tutorial, we’re going to be talking about generating multiple orders using advanced order management. When you want to first create an order that you pick and choose manually what’s going there, and then you create orders that are automatically generated.
So first things first, we’re going to need to allow multiple orders in the package settings.And if you don’t see this checkbox, either contact Salesforce or try a different install link. If you know, you’ve purchased CPQ plus, or that you have access to advanced order management. So if you don’t see this checkbox, it means that you have a different package installed. We’re going to go ahead and take a look at one of our quotes.
And in this quote, we have three different backpack bundles. Keep in mind that bundles need to be kept together in their orders because they are bundled and due to that nature. There is an exception if there is a product that is a related product. It is technically detached enough from the bundle, so you can pick and choose that, and we’ll take a look at how that shows in the system when we get to this part.
So, right now, we are ordering by size, so if I click on this item drawer dropdown, We can see that we have an extra small backpack with potions. We have a 2XL backpack with potions. And then we also have another small backpack with potions. So, here, we’re going to go ahead and save. And once we save this, we’ve got all of our quote lines. This is a common task to perform when doing Salesforce Revenue Cloud consulting.
We have our quote marked as primary. We already have status approved, so we should be fine to go ahead and make orders. This time around, I want a little more of a manual process, so I’m going to click on the create order button first. You do need to enter a start date or the system will stop you. So let’s say we’re going to start this order next week.
We will save this. And now that our order has been created, we are going to edit the products. It’s important to edit order products from the order and not from the related list. If you use the related list button, you’re going to go into regular sales cloud orders. So it’s good to remove this button from the screen.
Let’s take a look at edit order products in Revenue Cloud. Clicking on that button, we’re presented with the list of items that are associated with a quote. that we made the order from. So here’s all of our products, our different backpacks, and you’ll notice some of these are grayed out. The reason they’re grayed out is that they’re part of a bundle.
So if I choose to have this canvas backpack that is, has a quantity of three, these two items must be sent with it. Now this minor shield potion is technically part of this backpack, but it was a related product, so if I needed to fulfill it somewhere else on a different order, I could. I can also change the quantity, so I can say that I’m only going to select this backpack for a quantity of two.
And if I give this a quick save, these other items should update because they’re bundled with it. I’m also going to do a quantity of two for this item that is a related potion as well. And then I’m going to include this bundle, the extra small one in the same one. So now I’m going to save. And when I save this, I have all of those items, my two backpacks, the one that’s, a quantity of two for my extra small backpack and potions, and then a quantity of one for my small backpack.
And we can see all of the items right here. Alright, so let’s go back to our quote, because some of our quote products have been ordered, but some of them have not. So in this case, I wanted to just choose, I wanted to choose a handful of products to manually add to this one order myself because I know that I want two of those smalls, or two of the extra smalls and one of the smalls to go to a particular shop to get built. Setting different shops is common in Salesforce Revenue Cloue consulting.
And the other ones, I want the system to just generate the rest of them for me. Now I can still use this order checkbox like we saw in our last video, and the rest of the orders should be made. At this point, we’re still yet to fulfill the 2XL backpack, two of the 2XL backpacks, and one more of the extra small backpacks.
So let’s click save and see what happens. Beautiful, we just saw over here it updated from 1 to 3. So now these other orders, I know that these ones were made after the one that we just made together because the numbers are bigger. So we have order 112 and order 113. Let’s take a look and see what is on 112.
That would be our one remaining extra small backpack. And on order 113. This is our 2XL backpack. This is the end of my advanced order management generating multiple orders tutorial using both the button for manual order creation and the checkbox to order by and have orders automatically created.
I hope that this has helped explain the difference of when you can use the button and when you can use order by and that these things all work together to fit your own use case because of the way that you need to generate orders is custom and with using Salesforce CPQ and advanced order management, you’re going to be able to find a way to fit your process with this tool because of how flexible it is.
