We’re going to talk about advanced order management in Salesforce CPQ, specifically generating multiple orders by quote line group. The first thing we need is to make sure that the allow multiple orders checkboxes, checked. This is in your CPQ managed package settings. And if you don’t see this checkbox, it means that your version of this package may not be CPQ plus, or it has not been enabled for orders.
So if you don’t see this checkbox, please contact Salesforce or re-install the package. Next we’re going to take a look at one of our quotes. This quote has a couple of different backpack bundles. These bundles have different sizes associated with them. And we know that by looking at the item drawer, we can see that some of these are extra small and some of these are very large.
If I close these up, I can go ahead and add a group and groups are fun and very useful for a variety of different situations. I could talk a lot about groups, but since we’re using these specifically for orders, I will keep the context of why these are so awesome to just orders. So for group number one, we’re going to send this to the local supplier.
Our local supplier is overwhelmed right now. And so they can only take smaller orders when they have capacity and they let me know what their capacity is, weekly, daily. And they’ll give me a heads up about, “okay, yeah, you can send 100, or you can send 200 over to our shop.”
For orders that are larger, they’re going to need to be sent out to our Druid friends to be fulfilled in another town. So for the local supplier, I’m going to choose to add these backpacks because this fits in the quantity that I know that they’re able to supply. Now I’m going to add another group and this group is going to be for the backpacks that are going out to the Druids.
All right, now we’re going to go ahead and add products. And when I add these products, I’m selecting this backpack bundle. These bundles are going to be 3 XL and they are being built for a warrior class. We have one minor potion and two special potions that are part of this bundle. Now I’m going to go ahead and save this in Salesforce CPQ.
.
And there is a small army of these warriors that need to have a lot of backpacks. So we’re going to make 150 backpacks here. Now, when I give this a calculate, those dependent bundled potions are going to get selected. Perfect. That all looks beautiful. And now I’m going to go ahead and save. If you want to review the groups, you do have the option to see your groups like this in Revenue Cloud. This is a UI setting. We’ll go ahead and save this now.
And so we have a quote that has two different groups. You can have more than two groups if you’d like or if you need it for your Salesforce Revenue Cloud consulting, but for the sake of this tutorial, I just have two groups. We also have a field here called order by quote line group. And this being checked means that when my orders are generated, they’re going to look at how many groups and create one order per group that has all of the items that are in that group.
We have other options to order by a specific field. And in our last videos, we showed how to order by size instead of ordering by line group, you can also manually create an order first that picks and chooses what products you want associated with that order. Then you can order by a specific field to create the order for the rest of them if you want to have a more hands on order creation, because something just needs a human touch instead of being automated. And in this video, we’re just going to create the two orders, one per group.
So, because my quote is already marked as primary and the status is approved. I’ll go ahead and check on the orders check box and when I hit save, you should see this orders related list has two orders. Perfect. We do have two orders that have been generated in Salesforce CPQ.
And when I click into order 114, I can see that we have those extra small and the four XL backpacks. If I go back and I look at order 115 for that other group. We have all of our three XL backpacks for our quantity of 150. Now these orders are ready to be fulfilled and move on to being contracted.
